We pride ourselves on being easy to implement. But to make it even easier for you, we’ve simplified our self guided onboarding into a series of bite-sized and thoughtful topics to help you get up and running.

We've split this guide into two parts:

  1. Tailoring Copper: We want to lead with understanding your workflow, then show you how to bring it to life in Copper
  2. Taking action in Copper: We’ll show you how to find meaningful relationships within your database and manage them with intention

Part 1: Tailoring Copper

As we begin, here is a quick overview of how Copper can support your business - Keep these tools in mind as we think about bringing your workflow to life in Copper.

 


 

 

 

01 -     Define your Usage Goals

How do you plan to use Copper? One way to answer this question is by identifying if you’re going to be an Account Owner, an Admin, or a User.

 

Are you a standard user?

Generally, a standard user is using Copper to organize their day-to-day work and relationships. Click below to see how a you might use Copper.

  • Use the Activity Log to gain visibility on communications that you and your team members have had with a contact
  • Use Pipelines and Opportunities to understand and organize your work
  • Use filters and sorting to view the information that’s most important to you
  • Use email templates to efficiently communicate with prospects, customers, or other contacts
  • ...and you can do all this within Gmail if you install our Chrome Extension!

 

Are you an admin?

Admins can make changes to the Copper system. An admin can do everything a standard user can do, in addition to configuring Copper. Click below to see how a you might use Copper.

  • Editing fields and Pipelines
  • Enable or block users from accessing certain records or areas of Copper
  • Invite new users to Copper
  • Access, create, and edit reports

 

Are you an Account Owner?

Account Owners have access to everything admins and users do with the added ability to change or update subscription or payment information.

 

 

 

02-     Understand Copper’s Role within your Tech Stack

Copper is at the center of your tech stack, allowing you to receive and view information from external platforms.

  • External platforms like accounting software, marketing automation software, or VoIP systems provide in-depth solutions to manage each of those respective niche workflows.
  • Copper is designed to bring the information those platforms produce into one central location, reducing the amount of tabs open on your web browser.

There are various ways to connect other platforms to Copper. Click below to see some of these options.

Here are a few options for creating integrations between Copper and external platforms:

 

 

 

03-      Understand Copper’s Record Types

In Copper, we store information under different Record Types. For example, Companies, People, and Opportunities are all record types.

  • If you’re moving to Copper from a former CRM or spreadsheet, you’ll want to start thinking about how your existing data can be represented within Copper’s record types.
  • Copper’s records layer on top of one another, allowing you to create dynamic connections between your relationships and the initiatives you’re managing with those relationships.

Typically, each Copper record below is used with the following intention:

  • Leads: New relationships of any kind that need further qualifying. Intended to be converted into a Company/PersonOpportunity.
  • Companies: Qualified organizations you currently work with or have worked with in the past

  • People: Qualified contacts (related to organizations) you currently work with or have worked with in the past

  • Opportunities: Revenue potential (each Opportunity is a new revenue potential. One Person or Company could have several Opportunities).

  • Projects: Deliverables that need to be managed within your internal process. Can represent a special project, or the post-sale management of a new customer.

  • Tasks: Smaller action items that need to be completed, in association with any record type in Copper (Leads, Companies, People, Opportunities, or Projects)

04-     Apply your Data to Copper’s Record Types

“Your CRM is only as good as the data that’s in it”. 

  • Each record type in Copper stores data points specific to that particular entity. 
  • For example, People and Companies capture contact information specific to maintaining the relationship, but Opportunities capture revenue potential.
  • Opportunities are then tied to a Person and their Company.  This way, your contact (Person/Company) is at the center of every initiative you’re managing.

05-     Customize Copper

Accounts Owners and Admins - this section is for you!

Now that you have the basics down, let’s put some thought into how Copper should be customized to meet your team’s needs.

Below you’ll find the customizable objects in Copper, including fields, pipeline stages, and activities you may log:

 

 

 

06-   Import your Existing Data

  • Now that you’ve built the house, it’s time to move in! Let’s get your legacy data into Copper.
  • Importing existing Leads, Companies, People or Opportunities will populate helpful engagement metrics right out of the box, letting you know which relationships to follow up with.

Make a copy of our import template, and start organizing your data by Leads, People, Companies, or Opportunities. 

 

 

 

 


 

Part 2: Taking action in Copper

Now that Copper is all set up, let’s talk about how to leverage the information you’ll keep inside it. 

 


 

 

07-     Find and Analyze your Data in Copper

Capturing your data and workflows in Copper is just the beginning of making your CRM work for you.What this data is telling you will transform your CRM from address book to value-driving information. 

Here are a few Copper features that allow you to group data, painting a better picture of the efforts you put into your CRM:

 

  • Looking for data in a table or list view?

    • Searching - This can populate both global search results or record-specific search results

    • Sorting - When viewing records in list view, each column header can be sorted in ascending or descending order, grouping line items by data point. Learn more here.

    • Organizing columns in list view - Each column header can be customized, so that individual users can have their own unique view of what’s seen in their list view.  You can add, remove, and drag/drop columns to be arranged how you wish. Changes you make to your customized columns will only reflect in your view of Copper, other users will not see these changes. 

    • Filtering - The filter icon in the upper right corner allows you to target a group of records by specific criteria. This feature is available in all record types, but field criteria is subject per record type. For example, People can be filtered by contact details, and Opportunities can be filtered by revenue details. Learn more here.

 

  • Looking for data that is synthesized?

    • Custom Reporting Insights - Custom Insight reports can be created within our reporting suite, in the form of tables, charts, or graphs, aggregating the information flowing through Copper. These reports can also be sent to non-Copper users within your company, for greater visibility.

    • Google Data Studio - If you’re interested in building custom reports outside of Copper entirely, we’re integrated with Google Data Studio so that Copper information can be analyzed in a completely custom interface.

 

 

 

08-     Take Action on your Data in Copper

Managing relationships, sales, and projects includes a myriad of information being managed throughout your workflows. When this information is captured in Copper, we provide a feedback loop for you that drives actions and outcomes

Here are few examples of how Copper becomes actionable, and helps you drive toward successful outcomes

 

  • Logging activities - Historic details
    • The activity feed of a contact will automatically sync email communication, but your work includes more than emails... 

    • Bring your phone call and meeting notes into Copper by logging them as activities - this keeps Copper up to date with your efforts, and informs you and your team on next steps to take. 

    • @ mentioning team members

      • You can tag other Copper users in your phone call or meeting notes, which sends an email notification to the user you’ve included in your note

      • This eliminates duplicate efforts and allows for team collaboration directly in Copper

    • Using interaction stats

      • Any time an email syncs to a contact’s activity feed, it counts as an “Interaction.” 

      • The engagement metrics section at top of your contact’s activity feed will show how many interactions you’ve had with someone, when the last interaction was, and how many days they’ve been inactive. 

      • Logging “activities” also counts towards these interactions. Logging a “note” does not (use a “note” to store internal information that wasn’t necessarily a touch point with a contact

    • Creating Tasks - Future reminders

      • While Activities are used to log something that has already happened, Tasks can be used as a reminder of something that needs to be done in the future

      • Tasks can be assigned to yourself, or to other Copper users as action items to complete. 

      • They sync with your Google Calendar so you won’t lose sight of what needs to be done, even when you’re working outside of Copper

      • *Chrome extension tip! 

        • After sending an email, use the Chrome Extension to set a Task reminder to follow up in a few days - You can choose a due date, and the Task will sync with your Google Calendar for visibility

    • What you don’t have to log in Copper - because we do it for you:

      • Logging emails

      • Logging calendar events

 

 

 

09-     Create Efficiency and Automation

You probably want to keep data entry at a minimum where possible - we do, too. 

Here are a handful of tools designed to reduce data entry, and to keep you focused on what matters most - relationships.

 

  • Recurring Tasks

    • For ongoing reminders, Tasks can be set to repeat on a custom schedule of your choosing, after you’ve created the initial Task.

  • Project Templates

    • Using Projects to manage action items can be made even easier when you create pre-set templates to manage your Projects with

    • A template can then be selected when creating a new Project, including your default Tasks as soon as the Project is created.

  • Workflow Automation

    • Creating Workflow Automations within Copper will produce actions for you to manage, based on specific triggers within your system.

    • For example - we’re able to reference how long it’s been since you’ve last spoken with a contact, and we’re able to create a Task reminder to call that contact. Copper can take the groundwork out of this workflow by triggering your Task automatically, when a contact has been inactive for a certain period of time. 

    • Check out these Workflow Automation suggestions to add inspiration and reduce manual efforts

  • Bulk emailing

    • You can send emails in bulk to more than one Copper contact either as a free-hand email, using merge fields to auto-fill contact details, or using saved email templates for even faster outreach

  • Email Sequences *available on Business only

    • Email Sequence campaigns allow you to automatically send personalized emails to your Copper contacts based on certain criteria (Contact Type, Tags, etc). It’s a powerful tool for nurturing relationships easily and efficiently - all within Copper.

 

 

 

10-    Access and Visibility

  • If privacy or restrictions to certain areas of Copper are needed, the following changes can be made to keep your data  in the right hands:

 

  • Visibility at team level

    • If you need to restrict record access from certain users, creating a team of users allows you to set default visibility for records owned by specific Copper users

  • Visibility at record level

    • If you need to restrict just a handful of specific records (for example, a legal contact stored as a Person record in Copper), adjusting visibility on a single record will reduce access on a per-case basis.

  • Email visibility

    • If records are publicly accessible to your Copper users, you may still want to restrict visibility of the email exchanges syncing to those
